The JHED LID allows each person to set up a JHU email account and gain access to various campus services. The last four digits of a postdoctoral fellows\u2019s social security number are required in order to set up email. Postdoctoral fellows may be eligible for&nbsp;software discounts through SPARS and access to&nbsp;<a href=\"http:\/\/www.it.johnshopkins.edu\/services\/mobiledevices\/mcp\/\">mobile computing<\/a>. Website:&nbsp;<a href=\"https:\/\/my.jh.edu\/\">my.jhu.edu (click on \u201cFirst Time Login\u201d)<\/a><\/p>\n\n\n\n<p>The <a href=\"https:\/\/students.jhu.edu\/student-life\/technology-support\/j-card\/\">J-Card<\/a> is the official identification and access card for students, faculty, postdoctoral fellows and staff at Johns Hopkins University.&nbsp;J-Cash (a pre-paid, stored-value account that is part of the J-Card) is a convenient, cashless way to pay for purchases on and off campus. <\/p>\n\n\n\n<p>The area\u2019s most popular local businesses accept J-Cash, the card can also be used to pay for office supplies, at restaurants, for delivery, and more.&nbsp;The postdoctoral association may ask for payment for social activities by J-Cash.&nbsp;Postdoctoral fellows can deposit money into their J-Cash accounts in a number of easy ways:&nbsp;using the deposit stations on campus, phoning the J-Card office, or by mail.&nbsp;J-Cash balances roll over each term\/year and&nbsp;the&nbsp;account and card&nbsp;remains active as long as postdoctoral fellow\u2019s status is current at the university.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Ralph S. O\u2019Connor Center for Recreation and Well-Being<\/h2>\n\n\n\n<p>Visit the <a href=\"https:\/\/studentaffairs.jhu.edu\/recreation\/\">O&#8217;Connor Center website<\/a>&nbsp;for more information. Postdoctoral fellows are automatically eligible for gym membership as long as they have an active JHU JHED ID; but must fill out a registration form in order to activate their membership. Membership fees can be paid through either a check, credit card, cash or payroll deduction- for more details, please contact the Recreation Center Office. Forms for payment and registration must be done in-person at the Recreation Center Office during business hours.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Course Enrollment<\/h2>\n\n\n\n<p>KSAS Postdoctoral Fellows are able to audit courses in the fulltime, residential KSAS programs free of charge. If either or both a grade\/credit is\/are desired, tuition will be assessed per each division\u2019s tuition policy and will charged to the postdoctoral fellow through their enrolled student account. There is no obligation or block on a PI\/department covering the tuition charge of a graded course.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Student Health and Wellbeing Clinic<\/h2>\n\n\n\n<p>All Krieger and Whiting Schools postdoctoral fellows are eligible to use the&nbsp;Student Health and Wellness Center&nbsp;on the Homewood Campus. In order to do so, postdoctoral fellows are required to maintain adequate health insurance coverage to provide protection against unexpected accidents and illnesses, and will need to comply with all&nbsp;<a href=\"https:\/\/studentaffairs.jhu.edu\/student-health\/incoming-students\/health-requirements\/\">pre-entrance health requirements of the Student Health and Well-Being Center.<\/a>&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Services for Postdoctoral Fellows with Disabilities<\/h2>\n\n\n\n<p>Postdoctoral fellows with a disability who may need accommodations at Johns Hopkins University are urged to contact the&nbsp;<a href=\"http:\/\/web.jhu.edu\/administration\/jhuoie\/disability.html\">Office of Institutional Equity<\/a>&nbsp;(OIE) and read&nbsp;<a href=\"http:\/\/web.jhu.edu\/administration\/jhuoie\/docs\/Resources-Policies\/Disability%20Policy%20for%20Faculty.Staff.Public.pdf\">this policy<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Transportation and Car Sharing<\/h2>\n\n\n\n<p>Finding affordable and convenient on-demand transportation upon arrival can be a challenge. Four&nbsp;Zipcars are be available to students, postdoctoral fellows, faculty, staff and neighbors from the Greater Homewood community. Zipcar members pay one simple hourly (or daily) rate that includes gas, insurance, maintenance, a reserved parking space, and 180 free miles per trip. Please visit&nbsp;<a href=\"https:\/\/www.zipcar.com\/universities\/johns-hopkins-university\">the JHU Zipcar site<\/a>&nbsp;for further information and rates.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Travel and Travel Insurance<\/h2>\n\n\n\n<p>Any postdoctoral fellow going to another country for Johns Hopkins University business purposes is automatically eligible for&nbsp;ISOS travel insurance and the Johns Hopkins Travel Registry.<\/p>\n\n\n\n<p><strong>Enrollment Process:&nbsp;<\/strong>Postdoctoral fellows are automatically eligible as long as they have an active JHU JHED ID.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Important International Work Considerations and Parameters&nbsp;&nbsp;&nbsp;<\/h2>\n\n\n\n<p>A reminder that no one (faculty, staff, students, postdocs) should expect to work or be paid without prior permissions\/arrangement as feasible if they are outside of the country for more than three weeks, and there may be instances and locations where no university activity (this includes degree efforts, coursework, conferences, work, etc.) can be undertaken no matter the duration (longer or shorter).&nbsp;<\/p>\n\n\n\n<p>Work abroad for any length of time requires pre-vetting for global HR permission issues, export control, taxation ramifications, legal compliance, and other considerations. Postdoctoral Fellows and advisors should reach out to their academic staff\/PI\/Dept Administrator prior to any travel outside the United States.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Employment and Tax Information<\/h2>\n\n\n\n<p>Payroll for postdoctoral fellows is handled through the&nbsp;<a href=\"https:\/\/imagine.jhu.edu\/channels\/university-experiential-learning\/\">University Experiential Learning<\/a>. Federal regulations prohibit University Experiential Learning from entering non-US Citizens into the payroll system before a person\u2019s physical arrival on campus. Due to the length of time necessary to process payroll, it can take a few weeks before payroll disbursement becomes normal.<\/p>\n\n\n\n<p>Fellows must check in with their departmental administrators upon arrival to have their electronic I-9 (Employment Authorization) completed along with forms W4 and MW507 for submission to the\u00a0University Experiential Learning. Anyone with a valid SSN may fill in Section 1 of the I-9 online and must go to SES with their documentation to have there I-9 approved within the first three days of employment.\u00a0Anyone who does not have a SSN must have an authorized University representative at SES complete the I-9 on their behalf.\u00a0Non-resident aliens need to complete the JHU Foreign National Information Form (FNIF) while US Permanent Residents are not required to complete the form. The FNIF is used by the JHU Tax Office to ensure that earnings are taxed appropriately and must be furnished to the\u00a0<a href=\"http:\/\/finance.jhu.edu\/depts\/tax\/about_tax.html\">JHU Tax Office<\/a>\u00a0upon arrival. A copy of the form also needs to be supplied to the departmental administrator for the purposes of making sure payroll is entered properly into the JHU payroll system.<\/p>\n\n\n\n<p>Departments are responsible for submitting hours and pay rate information to University Experiential Learning.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Tax Obligations for Postdoctoral Fellows<\/h2>\n\n\n\n<p>Postdoctoral fellows are subject to specific&nbsp;tax filing guidelines&nbsp;by the&nbsp;Internal Revenue Service. As a guide through this process the IRS provides Publication 970, which spells out all tax obligations for students. To obtain further information, please contact the&nbsp;<a href=\"http:\/\/www.controller.jhu.edu\/depts\/tax\/about_tax.html\">Johns Hopkins University Tax Office<\/a>&nbsp;at&nbsp;<a href=\"mailto:tax@jhu.edu\">tax@jhu.edu<\/a>.<\/p>\n\n\n\n<p>Visit the\u00a0<a href=\"http:\/\/ois.jhu.edu\/Legal_Matters\/Taxes\/index.html\">OIS website<\/a>\u00a0for a Tax Information Sheet for U.S. Citizens and Resident Aliens, and Tax Information Sheet for Nonresident Aliens. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Doctoral Life Design&nbsp;<strong>Studio<\/strong><\/h2>\n\n\n\n<p>The&nbsp;<a href=\"https:\/\/studentaffairs.jhu.edu\/life-design\/\">Doctoral Life Design Studio<\/a>&nbsp;offers comprehensive confidential services to postdoctoral fellows. Services include: resume, CV, and cover letter critiques; assistance with interviewing, networking and searching for a job; career counseling for exploration of values, interests, and skills; workshops, employer information sessions, and a career resource library. Postdoctoral fellows have access to all of these services through Handshake, the Life Design Lab\u2019s job-search database. Handshake has information on upcoming career fairs, on-campus recruiting, and can contact a life design educator.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Office of International Services (OIS)<\/h2>\n\n\n\n<p>The&nbsp;<a href=\"https:\/\/ois.jhu.edu\/\">Office of International Services<\/a>&nbsp;supports international students, scholars, postdoctoral fellows and faculty associated with the Homewood Campus of Johns Hopkins University.&nbsp; Through a variety of services and programs,&nbsp;OIS staff members work to ensure that the legal, cultural, and other special needs of our international communities are met so that these individuals can achieve their academic and personal goals.
